The IT Checklist Every Small Business Should Review Quarterly

I recommend a quick review every few months, which can keep your team safe and productive, save money, and avert serious problems later.

1. Verify Software Licensing and Renewals

Unexpected service interruptions or compliance problems may result from expired or untracked licenses. Spend a few minutes reviewing all of your active licenses, such as those for Microsoft 365, antivirus software, and business apps.

  • Verify auto-renew settings or impending renewals.

  • Eliminate licenses that are no longer in use.

2. Backups of Test Data

It's great to have backups. It's better to know they work.

  • Verify that your backups are occurring on time; test a restore to ensure that data can be recovered; and confirm that important files and systems are being backed up.

3. Examine User Permissions and Access

Access controls can easily become disorganized when employees come and go or switch roles.

  • Eliminate former employees' access; audit sensitive data permissions; and make sure multi-factor authentication (MFA) is turned on.

4. Upgrade Devices and Systems

Firmware updates and security patches aid in patching vulnerabilities.

  • Update workstations, routers, firewalls, and servers.

  • Upgrade or replace aging hardware.

  • Verify that the endpoint protection and antivirus software is up to date.

5. Examine Cybersecurity Knowledge and Education

Your first line of defense, and sometimes your weakest link, is your people.

  • Update password hygiene and device use policies; conduct a phishing test or refresher training; and encourage team members to report any suspicious activity.

6. Assess Your Experience with IT Support

  • Does the way you're currently set up help or hinder you?

  • How quickly do problems get fixed?

  • When it comes to tech issues, are you proactive or reactive?

  • Are your IT and business objectives in sync?
